Purpose and Scope

This policy outlines the responsible and ethical use of Artificial Intelligence (AI) technologies at Tree Duck Design. It applies to all AI usage in the design and development of client websites, branding, and content.

This document is intended to inform clients and stakeholders about how AI is integrated into my creative process, while ensuring transparency, accountability, and compliance with applicable laws.

As the sole operator of Tree Duck Design, I take full responsibility for ensuring that all AI tools are used appropriately, safely, and in a way that enhances rather than replaces human expertise.

Guiding Principles

Tree Duck Design is committed to the ethical and transparent use of AI. The following principles guide all AI-related decisions:

  • Transparency – I clearly communicate when AI tools are used in client projects
  • Accountability – All AI-assisted outputs are reviewed and approved by me, and I take full responsibility for final deliverables
  • Fairness and Inclusivity – I aim to reduce bias and ensure content is inclusive and respectful
  • Privacy and Data Protection – Client data is handled securely and in line with applicable data protection laws

AI Tools and Usage

AI tools are used to support efficiency, creativity, and strategic delivery across branding, web design, and SEO services.

Current tools may include platforms such as ChatGPT and Perplexity.

These tools may be used to assist with:

  • Brainstorming ideas and creative direction
  • Supporting content structure and early drafts
  • Helping shape and refine written content so it is easier for clients to review, edit, and personalise
  • Researching keywords and search trends
  • Exploring different ways to communicate messaging clearly

AI is used as a support tool only. It does not replace strategic thinking, design expertise, or decision-making.

All AI-assisted outputs are reviewed, edited, and approved by me before being shared with clients.

Data Protection and Privacy

Tree Duck Design operates in the United Kingdom and complies with the UK General Data Protection Regulation (UK GDPR) and other applicable data protection laws.

Where AI tools are used:

  • Only limited, relevant project information is processed
  • Sensitive or confidential data is not entered into AI tools without explicit client consent
  • Trusted third-party providers with appropriate data protection standards are used

Client data is:

  • Collected with consent
  • Used solely for agreed project purposes
  • Not shared beyond necessary service providers unless required by law

Intellectual Property

AI-assisted outputs are generated using third-party systems trained on large datasets.

While reasonable efforts are made to ensure originality:

  • Tree Duck Design does not guarantee that AI-assisted content will be entirely unique
  • Clients are granted rights to final deliverables as outlined in their project agreement

Risk Management

AI tools may introduce certain risks, including:

  • Inaccurate or incomplete information
  • Bias within generated content
  • Intellectual property considerations

To mitigate these risks:

  • All AI outputs are manually reviewed and refined
  • Content is checked for accuracy, tone, and alignment with client values
  • AI-generated material is not used without human input and approval
  • Only reputable tools are used where possible

Fairness and Bias Monitoring

AI tools can reflect biases present in their training data.

Tree Duck Design takes steps to minimise this risk by:

  • Reviewing content for stereotypes or exclusionary language
  • Ensuring inclusive and respectful messaging
  • Adapting content to suit diverse audiences and client needs

Any biased or inappropriate outputs are corrected or removed.

Client Communication and Consent

Clients are informed when AI tools are used within their project.

This includes explaining:

  • What AI is being used for
  • How outputs are reviewed and refined
  • The benefits of AI in supporting the process

Clients are encouraged to ask questions or raise concerns at any time.

By engaging Tree Duck Design’s services, clients acknowledge and accept the use of AI tools as outlined in this policy.

Accuracy and Limitation of Liability

While all AI-assisted outputs are reviewed with care, Tree Duck Design does not guarantee that AI-generated or AI-assisted content will be free from errors or omissions.

Any insights, suggestions, or content produced with the assistance of AI are provided for general informational purposes only and should not be considered legal, financial, or professional advice.

Clients are responsible for reviewing and approving all final deliverables prior to use.

Training and Continuous Improvement

Tree Duck Design is committed to ongoing learning and responsible AI use.

This includes:

  • Staying informed about developments in AI technologies
  • Reviewing updates to tools and platforms
  • Adapting practices in line with industry standards and ethical guidance
